Our weekly job meetings dropped from 90 minutes to 22, and the fix was kind of dumb
I run a concrete crew of 14 guys in Boise and we used to burn an hour and a half every Monday going over jobs that half the room didn't care about. Back in March I started sending a simple one page sheet out Sunday night with just three things on it: what's starting, what's finishing, and what's stuck. Now the Monday meeting is 22 minutes on average and we actually talk about problems instead of me reading out a schedule. The weird part is the milestone that shocked me, we hit 11 jobs finished with zero callback visits in April, which never happened in the 6 years I've been running things. I think it worked because guys read the sheet on their own time and showed up already knowing the plan. Anyone else cut their meeting time with something this basic, or did you have to go full software to make it stick?
A buddy of mine runs a landscaping company over in Nampa and had almost the exact same thing happen. He was doing these big two hour sit downs every Monday where guys just zoned out, and his wife finally told him to try a one pager like yours. He started doing a Monday morning email instead, same three buckets, and his meetings went down to like a half hour. What really got him was his callbacks dropped too, because his guys were catching problems on the sheet before they got to the job. He never bought any software either, just a shared doc and a group text. So yeah, basic beats fancy most of the time.
